Reports to the Dean, Cape May County Campus. Assists the Dean in a wide variety of activities including event/meeting planning, project management and community outreach. Provides comprehensive and effective administrative support services for projects, tasks and routine office procedures for the Dean, Cape May County Campus (CMCC).

  • Answers phones and responds to email queries
  • Handles mail and assists dean with correspondence
  • Initiates, tracks, handles finance paperwork and follows up on manual and electronic purchase requisitions, travel expense reports, work orders, budget transfers, event registrations, promotional materials and membership renewals
  • Purchases and maintains supplies, for the dean’s CMCC office
  • Performs data entry as needed
  • Coordinates meeting needs for staff, college work groups and external committees, maintains contact lists of all members, creates and sends invitations and monitors/confirms attendance, secures meeting space and video or phone conferencing capabilities, orders food and beverage, and takes meeting minutes as needed
  • Schedules events, meeting etc. for CMCC utilizing 25Live
  • Serves as back-up for Resource Development Associate inputting data entry of donor records
  • Assists with Foundation events and mailings
  • Assists with the coordination of events and volunteer activities
  • Schedules appointments for dean, organizes and maintains contact reports and files, maintains records of outreach efforts and meeting outcomes, helps to manage next steps, etc.
  • Assembles, copies/scans and electronically distributes as well as supplies hard copies of documents for meetings, reports and proposals
  • Assists dean, CMCC with budget matters including monitoring of all department accounts
  • Edits articles for the Communicator and posts to Cape May Campus Facebook page
  • Operates independently, confidentially and exercises considerable judgment when executing instructions on behalf of the Dean
  • Serves as back-up for faculty support as needed
  • Performs related duties as assigned
Minimum Requirements:
  • Associate’s degree
  • 2 years of experience in an office setting performing administrative tasks
  • Strong technology skills to include Microsoft Office products
  • Excellent organizational and clerical skills
  • Demonstrated ability to work independently and to make independent decisions
  • Demonstrated ability to communicate effectively orally and in writing
  • Ability to coordinate complex activities with multiple parties, prioritize work and meet deadlines


This position is located at Cape May County Campus, but requires flexible scheduling to include evenings and weekends and duties at any Atlantic Cape Community College location.
