This is a part time, up to 26 hours per week position. This position is primarily based at the Cape May County Campus but requires flexible scheduling to include evenings and weekends and duties at any Atlantic Cape location.

Reports to Associate Dean, Resource Development Department.

Processes gifts and pledges by entering donation and pledge data for the foundation and college into donor database. Ensures integrity of data and accuracy of input and deletes duplicate records.

Works with finance department and foundation accounting staff regarding gift entry, gift posting, gift restrictions and audit reporting. Verifies gift and pledge data to ensure that integration with the QuickBooks is accurate and in adherence to financial guidelines. 

Maintains appropriate paper files and electronic records of donations and supporting documents. 

Processes donor acknowledgments ensuring timely and accurate receipting and acknowledgement of contributions and gifts. Writes draft and edits acknowledgement letters when necessary and identifies letters that require personalized messages and notifies Senior Director.

Runs existing or creates new monthly pledge reports and reviews with the Senior Director to determine appropriate actions for past due/outstanding pledges. Sends pledge reminders as needed.

Assists Senior Director, Resource Development with budget matters pertaining to all department accounts.

Enters, processes and tracks requisitions in Colleague for department, foundation and event purchases.

Creates work orders for department, foundation and event needs.

Extracts information from fundraising database to meet reporting and research needs of the department and/or college, produces alumni and donor activity reports. Produces targeted mailing lists from database, downloads data to Excel spreadsheets, creates mail merge documents for solicitations and invitations using Excel and MS Word.

Assists with donor prospect research and creation of prospect profiles.

Maintains records of cultivation and solicitation activity. Provides comprehensive administrative support for campaigns and other fundraising activities including, but not limited to, assisting with the preparation of presentations, processing correspondence and tracking next steps, assisting with the implementation of solicitation strategies and reporting on outcomes of solicitations.

Updates and maintains master alumni database. Issues alumni association membership cards.

Assist the Senior Director of Development with other initiatives to advance the efforts of the college Assists with Special event production as needed.

Provides clerical support to Senior Director, Resource Development and grants office as needed. Performs related duties as assigned.

Minimum Requirements:

BA/BS degree. Two years of data entry experience. Database management a plus.

One year of experience working in a development/fundraising/advancement department.  Experience working in an institution of higher education preferred.

Demonstrated computer and software skills including MS Word, PowerPoint, Excel, database applications, email and use of Internet for information mining.

Competence producing specialized reports. Excellent organizational skills.

Exceptional oral and written communication skills. Ability to maintain complex records and files. Ability to coordinate, prioritize, and monitor projects to completion.

Ability to work both independently and in coordination with professional colleagues.

Ability to manipulate various database records to produce lists, mailing labels, and merged letters. 

Able to handle confidential and sensitive information.
